How to settle a mess at the end of the month

Month end in a mess comes down to one line per member: what they used, what they paid in, and the difference. Here is how to get that line right, including the parts most messes get wrong.

The three kinds of cost

Food, divided by meals. Work out the meal rate (total bazar ÷ total meals) and multiply by each member's meals.

Rent, divided by share. If every room is alike, split it equally. If one member has a single room and others share doubles, give the single room more shares, commonly 2 against 1 each.

Shared bills, divided per head. Electricity, gas, wifi, the cook and the cleaner are usually split equally among everyone living there that month.

What counts as paid in

Every taka a member put into the mess fund this month: the deposit at the start, any top-up in the middle.

Bazar a member bought with their own money counts too. If Sakib spent 1,200 of his own cash at the market, the mess owes him that, so it is credited to him exactly like a deposit. Write it down the same day, with the receipt if there is one.

A full worked example

Five members. Bazar 15,000 for 300 meals gives a meal rate of 50. Rent is 18,000; Rafi has the single room at 2 shares and the other four have 1 each, so 6 shares at 3,000 a share. Bills come to 4,500, which is 900 a head.

Rafi ate 70 meals: food 3,500, rent 6,000, bills 900, so he used 10,400. He paid in 9,000. He owes the mess 1,400.

Tanvir ate 60 meals: food 3,000, rent 3,000, bills 900, so he used 6,900. He paid in 7,500. The mess owes him 600 back.

Do the same for every member. Across the whole mess, what is owed and what is owed back should add to the same figure, give or take any money still sitting in the fund. If they do not, an entry is missing.

Someone joined or left mid-month

Food is no problem, because they only have meals for the days they were there. For rent and bills, agree a rule before it happens: either a full month regardless, or a share for the days present. Whatever you choose, write it down and apply it to everyone the same way.

Close the month

Once everyone has seen the numbers and paid up, freeze them. A month that can still be edited after it is settled is a month that will be argued about again. In a paper khata that means signing off the page; in Mess Ledger, closing the month stops anyone, managers included, from changing an entry dated inside it.
