How to run a mess without the arguments

Being the mess manager is an unpaid job that everyone has an opinion about. Most of the trouble is avoidable, because it comes from rules nobody agreed on and numbers nobody could check.

Agree the rules before the month starts

Write these down and get everyone to agree before day one: how breakfast counts (half or full meal), how guest meals are charged, the deadline for turning a meal off (usually the night before), how rent is split between room types, and what happens when someone joins or leaves mid-month.

Rules agreed in advance are rules. Rules decided after the bill arrives are arguments.

Collect a deposit up front

Ask each member for an advance at the start of the month, roughly what they spent on food last month plus their rent share. A mess that shops on credit from the manager's own pocket ends the month with one person owed a lot of money and no leverage to get it back.

Rotate bazar duty

Shopping is the most resented chore in a mess. Put everyone on a rota with a fixed order and a fixed turn length, often two or three days each, and publish it so nobody can claim they did not know it was their turn.

Whoever shops writes the amount down the same day, item by item if the mess wants it, with the receipt. The longer an entry waits, the less anyone trusts it.

Record meals every day

One person should not have to chase everyone for their counts at month end. Each member marks their own meals daily, or the manager marks them from a standing plan and members change only the days that differ.

Show the running meal rate mid-month. A member who sees the rate climbing in week two adjusts; one who first sees it on the 30th argues.

Make the numbers checkable

The fastest way to end an argument about money is to let the person arguing check it themselves. Every member should be able to see every bazar entry, every deposit and every meal count that makes up their balance, and who entered or changed it.

Close each month

When the month is settled and paid, close it so nothing in it can change. Then start the next one clean.
