Mess manager duties: a checklist for the job

You have been made mess manager for the month. Here is everything the job involves, in the order it comes up, so nothing waits until the 30th.

What a mess manager is

In a bachelor or student mess, the manager is the member who keeps the accounts for a month. Many messes rotate the job so nobody carries it for long and everybody learns how the numbers work.

In a hostel or an institution's dining mess, a mess manager is often a paid staff role with a budget and a cook to supervise. The checklist below still applies; there is simply more of it.

Every day

Confirm the day's meal count before the cook starts: who is eating, who has turned a meal off, and any guest meals. Hold everyone to the meal-off deadline the mess agreed.

Record each bazar the day it happens, with the amount, who paid, and the receipt.

Record any deposit the moment it is handed over. Cash that is not written down is cash that will be argued about.

Every week

Check the bazar rota and remind whoever is next.

Count the cash in hand against what the records say should be there.

Share the running meal rate with the group. A member who sees it climbing in week two can eat out less; one who first sees it on the 30th argues.

At month end

Total the bazar and the meals, and work out the meal rate. Split rent, bills and the cook's salary per head or by room share. Each member's balance is what they paid in minus their food cost minus their share of the fixed costs.

Post every member's figure with the working, collect from those who owe and pay back those who are owed, then close the month so nothing in it changes. The month-end settlement guide works through a complete example.

Handing over to the next manager

Hand over the cash in hand, a list of who still owes and who is owed, any unpaid bills with their due dates, and the khata itself.

Agree what happens to food left in the kitchen. Most messes simply carry it forward, but if one month bought a full sack of rice that the next will eat, say so now rather than in three weeks.

Choosing who manages

Rotate in a fixed order. Never let the manager fund the mess from their own pocket for more than a day or two: collect the deposit first. And make the records readable by everyone, because a manager whose numbers anyone can check is a manager nobody accuses.
