Rent and bills in a mess
Last updated · 36 questions
Rent, electricity, gas, wifi and the cook’s salary cause more arguments in a mess than bazar does. These answers give a fair rule for each one, with worked taka examples you can copy.
How do you split rent by room size in a mess?
Divide the rent in proportion to each room’s floor area, then split each room’s amount among the people in it. For a ৳24,000 flat with rooms of 150, 120 and 90 sq ft (360 in total), the rooms pay ৳10,000, ৳8,000 and ৳6,000. In Mess Ledger you can enter this as a split by shares, here 5, 4 and 3, and it works out the same amounts.
Should a room with an attached bathroom or balcony pay more rent?
Yes, a room with its own bathroom or a balcony usually pays a small premium, agreed before anyone moves in. Give the better rooms a slightly bigger share: for a ৳22,000 flat with four single rooms, shares of 6 for the attached-bath room, 6 for the balcony room and 5 for each plain room make 22 shares of ৳1,000, so ৳6,000, ৳6,000, ৳5,000 and ৳5,000. Write the shares down so nobody reopens it every month.
How do we split electricity from a prepaid meter in a mess?
Add up every recharge made during the month and split that total among the members, the same way you would split a postpaid bill. If three recharges of ৳1,000, ৳1,500 and ৳1,000 were made, the month’s electricity is ৳3,500, or ৳500 each for seven members. Whoever recharged with their own money should be credited for it; Mess Ledger counts bills a member paid out of pocket towards what they have paid in.
How do you use a sub-meter to divide the electricity bill between rooms?
Read the sub-meter at the start and end of the month, charge that room its units at the average rate, and split the rest equally. If the main bill is ৳4,000 for 400 units, the average is ৳10 a unit; a room whose sub-meter shows 120 units pays ৳1,200, and the remaining ৳2,800 is shared by all seven members at ৳400 each. Mess Ledger handles this with a custom-amount split.
Should someone using a room heater in winter pay extra for electricity?
Yes, a heater draws a lot of power, so its user should pay a fixed extra amount for the months it is used, agreed in advance. For example, the heater user adds ৳200 a month from December to February and everyone else’s share drops accordingly. Small things like an electric iron, phone chargers or a table lamp are normally left inside the equal share, because chasing them costs more goodwill than it saves.
Is it fair to split electricity equally if one member runs a desktop PC all day?
Not entirely; a fair fix is a flat monthly extra for the PC owner, with the rest split equally. On a ৳3,300 bill among six members, the PC owner pays ৳300 first and the remaining ৳3,000 is shared at ৳500 each, so the PC owner pays ৳800 in total. If the gap is large and recurring, a sub-meter for that room settles it with real numbers.
How do you split a line gas bill in a mess?
A line gas bill is the same every month, so split it equally among the members who use the kitchen. A ৳1,080 monthly gas bill shared by nine members is ৳120 each. If a member never cooks or eats at the mess, the group can leave them out, but agree that once rather than arguing it every month.
How do we share the cost of LPG gas cylinders in a mess?
Record each cylinder refill as a gas cost in the month it was bought and split the month’s total among the members who eat from the kitchen. If two refills of ৳1,450 each were bought, the gas cost is ৳2,900, or ৳290 each for ten members. A cylinder bought on the 28th that lasts into next month is simply counted in the month it was paid for, which evens out over time.
How should a mess split the water bill?
If the landlord charges water separately, split it equally per head, since water use follows the number of people rather than room size. A ৳1,200 water bill among eight members is ৳150 each. If water is already included in the rent, it is covered by the rent split and needs no separate line.
Does a member who doesn’t use the wifi still have to pay for it?
Only if the mess agrees that it is a shared utility; otherwise split it among the members who actually use it. A ৳1,200 package among six members is ৳200 each, but if one member uses only mobile data and opts out, the other five pay ৳240 each. Mess Ledger can split a cost equally among chosen members, so the opt-out is a tick box, not a calculation.
How should the cook’s (bua or khala) salary be divided among members?
Split the cook’s monthly salary equally among the members she cooks for. If the bua is paid ৳6,000 a month and cooks for ten members, each pays ৳600. Keep it as a separate cost from bazar so everyone sees exactly what the salary is and what the food cost is.
Should a member who is away the whole month pay the cook’s salary?
Usually no: a member who ate nothing all month is left out of the cook’s salary, and the others share it. With a ৳5,400 salary and ten members, each pays ৳540; if one is away all month, the nine present pay ৳600 each. In Mess Ledger, mark the away dates and split the salary equally among the members present that month.
How much Eid bonus should we give the cook, and who pays it?
Agree the bonus as a group before Eid; a common choice is one month’s salary or half of it, and everyone on the roll that month shares it equally. A ৳5,000 bonus among ten members is ৳500 each. Record it as its own cost in the Eid month so it is not mixed up with the regular salary.
Can we cut the cook’s salary if she misses some days?
You can, but only under a rule agreed with her in advance, and most messes allow a few days of leave without a cut. If the rule is a daily deduction beyond the agreed leave, a ৳6,000 salary in a 30-day month is ৳200 a day, so five unpaid days make it ৳5,000. Tell her the rule when she starts, not on payday.
How do you split the wage of a cleaner who cleans the bathrooms and floors?
Split the cleaner’s wage equally among all residents, since everyone uses the bathrooms, corridor and stairs. A ৳1,500 monthly wage among six members is ৳250 each. Unlike the cook’s salary, a member away for a few days still pays, because the common areas are cleaned either way.
Who pays when the landlord asks for money for building maintenance?
First check the rental agreement and ask the landlord to cover work on the building itself; split among current members only what the mess agrees to pay. If the mess agrees to share, say, a ৳1,600 water tank cleaning, eight members pay ৳200 each. Ask for a receipt and keep it with the month’s records.
What is a building service charge, and is it separate from rent?
A service charge pays for shared building costs such as the guard, stair lights, lift or common cleaning, and some landlords bill it on top of rent while others include it. If it is billed separately, split it equally per member: a ৳2,000 service charge among eight members is ৳250 each. Ask the landlord in writing what it covers before you move in.
Who pays to repair a broken fan or a leaking tap in a mess?
Ordinary wear on shared things is split equally among current members. A ceiling fan repair of ৳350 in a seven-member mess is ৳50 each. If the repair is something the landlord is responsible for under your agreement, ask them first; if one person clearly caused the damage, see the next question.
If someone breaks a shared item, should they pay for all of it?
Yes, damage caused by one person’s carelessness should be paid by that person, while normal wear is shared. If a member breaks the ৳2,800 rice cooker, the full ৳2,800 goes on them alone. Mess Ledger lets you put a cost on one member with a custom-amount split, so it shows up only on their balance.
How do you charge a fine to one member in a mess?
Write the fine rules down first, then charge each fine only to the person who broke the rule. For example, ৳100 for skipping bazar duty without arranging a swap. In Mess Ledger a fine is a cost with a custom amount on that one member, so it lands on their balance and the activity log shows who added it and when.
What should we do when one member hasn’t paid rent but the landlord wants the full amount?
Pay the landlord on time from the fund and whoever can front the gap, and record the late member as owing it. If rent is ৳30,000 and one member’s ৳4,000 is missing, someone covers the ৳4,000 and is credited for it, while the late member’s balance shows ৳4,000 owed. In Mess Ledger a negative balance means the member owes the mess, so nobody has to keep the debt in their head.
Should each member pay the landlord directly or should the manager collect rent?
One person, usually the manager, should collect everyone’s share and pay the landlord in one payment with a receipt. The landlord deals with one name, and a missing share is caught before it becomes a dispute with the owner. Members can deposit by bKash or Nagad with the TrxID; in Mess Ledger a member’s “I paid” report counts only after a manager approves it.
Does a member who is away for the month still have to pay rent?
Yes, a member who keeps their seat pays full rent even when away, because the landlord charges for the room either way. What they can skip is food: a member at home for the month eats no meals, so their food cost is zero. In Mess Ledger you mark the away span and their meals become zero, while their rent share stays in the split.
Which bills should an away member pay besides rent?
A common rule is that an away member pays rent and the fixed shared costs, such as wifi and the service charge, but not usage-based costs like gas and the cook. If their rent is ৳4,000, wifi ৳150 and service charge ৳250, they pay ৳4,400 for the month. Decide the rule once and apply it the same way to everyone.
How do you calculate rent for a new member who joins in the middle of the month?
Charge rent by days: the seat’s monthly rent divided by the days in the month, times the days they stay. For a ৳4,500 seat in a 30-day month, a member who moves in on the 21st stays 10 days and pays ৳1,500. In Mess Ledger, put that amount on them with a custom split for the joining month, then include them normally from the next month.
How much rent does a member pay if they leave in the middle of the month?
That depends on your notice rule; a common one is one month’s notice, and leaving without it means paying the full month. A member who gave notice and leaves on the 10th of a 30-day month with a ৳4,500 seat pays ৳1,500. One who leaves without notice pays the full ৳4,500 unless a replacement takes the seat.
How do you settle up with a member who is leaving the mess?
Work out everything they were charged up to their leaving date and compare it with everything they paid in. If they paid ৳8,000 and were charged ৳7,350, the mess owes them ৳650; if it is the other way round, they owe the difference before leaving. Mess Ledger’s per-member statement lists every line behind that balance, and their past entries stay after they leave so the closed months still add up.
What happens to the landlord’s advance when members change?
The landlord’s advance usually stays where it is, and the incoming member pays the outgoing member their part of it. If the advance is ৳40,000 for eight seats, each seat’s part is ৳5,000, so the new member pays ৳5,000 to the person leaving. Note the handover in writing so the final refund from the landlord goes to whoever is in the seat at the end.
How do we set up rent and wifi as recurring monthly charges?
Keep one list of fixed monthly charges and apply it at the start of each month instead of typing them again. In Mess Ledger you save rent, wifi and similar costs as recurring templates and apply them for the month with one button; pressing it twice never bills twice. Change the template only when the amount changes.
How do we split a rent increase among members?
Keep the same proportions and scale every share by the same percentage. If rent goes from ৳24,000 to ৳26,400, a 10% rise, rooms paying ৳10,000, ৳8,000 and ৳6,000 now pay ৳11,000, ৳8,800 and ৳6,600, which adds up to ৳26,400. Update the recurring rent amount in the month the increase starts.
How should a mess split the cost of a new fridge or water filter?
Split one-off purchases equally among the members there when it is bought, and agree upfront what happens when someone leaves. A ৳3,600 water filter among six members is ৳600 each. Most messes keep it simple: the item stays with the mess and a leaving member gets nothing back, unless the group agrees a buyout.
Should the mess manager get a rent discount for managing?
It is the mess’s choice, and if you give one, make it a fixed amount the others share openly. In a six-member mess paying ৳30,000 rent, a ৳600 discount means the manager pays ৳4,400 and the other five pay ৳5,120 each, which still totals ৳30,000. Mess Ledger can record this with custom amounts, and every member can see the split.
Is it fairer to split utilities per person or per room?
Per person is usually fairer for electricity, water and gas, because use rises with the number of people, not rooms. On a ৳3,000 bill with six people in a single, a double and a triple room, per person is ৳500 each; per room would be ৳1,000 a room, so the single pays ৳1,000 and each person in the triple pays about ৳333. Keep room size for rent, not utilities.
Should a member pay extra when a relative stays in the mess for a week?
Yes, a guest staying several nights adds to electricity, water and gas, so a small per-night charge on the host is fair. At ৳50 a night, a guest who stays six nights adds ৳300 to the host’s share. Agree the rate in advance and charge only the host, not the whole mess.
How do we split electricity when a member was only there part of the month?
Split it by person-days so a member who was there half the month pays half. On a ৳3,100 bill, five members present 30 days and one present 5 days make 155 person-days, or ৳20 a day; the five pay ৳600 each and the sixth pays ৳100. This works well for big swings, such as exam holidays, when most of the mess goes home.
How do we prove to members that rent and bills were actually paid?
Keep the landlord’s rent receipt and every utility bill or recharge slip, and share a photo of each in the mess group when it is paid. Then each member can match the amounts to what they were charged. Mess Ledger adds an activity log every member can read, showing who entered or changed each cost and when, and a settlement PDF you can post for the month.
