Why do messes collect an advance deposit instead of splitting costs at month end?

An advance deposit means the manager shops with the mess’s money, not their own. Without it, the manager may spend ৳10,000 or more on bazar in the first two weeks and then chase eight people for repayment. Collecting first also shows early who is short of cash, so the mess can plan instead of discovering a gap on the last day.

What date should mess deposits be due each month?

Pick one fixed due date a few days after the billing month starts, such as the 5th, and keep it every month so nobody has to ask. If your mess’s month starts on a date other than the 1st, count the due date from that start. How do I send my mess deposit to the manager by bKash?

Use Send Money in your bKash app to the number the manager has given for mess payments, then keep the confirmation. Why does my deposit show as pending?

How should a manager verify a member’s bKash payment before approving it?

If a member reported ৳5,000 but that TrxID shows ৳4,500 in your history, do not approve it yet and ask them to correct it. Can I pay my mess deposit in cash?

Yes, cash is fine as long as it is written down the same day with the amount and date. Hand it over in front of another member if you can, or ask the manager to confirm receipt in the group chat. Is it okay to pay the mess by bank transfer?

Yes, a bank transfer works well for larger amounts such as a rent share. Put your name and the month in the transfer remarks and send the manager the reference number the bank gives you. Should I send extra to cover the charge when I pay my deposit?

If your mess’s rule is that the sender bears the charges, yes: the full deposit should reach the manager, and you pay any fee on top. Can I pay the mess deposit on behalf of my roommate?

Yes, but the deposit should be credited to your roommate, not to you, unless you both agree otherwise. Tell the manager whose deposit it is and put their name in the reference, then settle between yourselves privately. I sent the wrong amount to the mess manager. What now?

Tell the manager straight away with the TrxID and the amount you actually sent. The deposit is recorded as the amount that arrived, so if you meant to send ৳5,000 but sent ৳500, you still owe ৳4,500. If you sent too much, the extra can stay as credit in your balance or the manager can send it back; agree which in the chat.

Does the mess refund an excess deposit at the end of the month?

Yes; if what you paid in is more than you were charged, the difference is yours. For example, a member who deposited ৳6,000 and was charged ৳5,400 should get ৳600 back or have it carried into next month. Should leftover deposit money be carried to next month or returned?

Carry it forward if the member is staying, because it saves two transfers and simply lowers next month’s deposit. Return it in cash or by bKash if the member is leaving or asks for it. For example, a member with ৳600 credit who would normally deposit ৳5,500 only needs to send ৳4,900 next month.

Is the landlord’s advance the same as the monthly mess deposit?

No; the landlord’s advance is a one-time security deposit held by the landlord, while the monthly deposit pays for this month’s bazar and bills. Keep them separate in your records, because the advance is normally returned when the mess leaves the house, less any deductions agreed in the contract. Mixing it into the monthly fund makes the month look richer than it is.

How do we track each member’s share of the landlord’s advance?

Keep a simple list of who paid how much toward the advance and when. For example, a ৳20,000 advance shared by four members is ৳5,000 each; a common arrangement is that when one leaves, the incoming member pays the outgoing one ৳5,000, so the landlord’s advance stays untouched. How can I check that my mess deposit was recorded correctly?

Can the manager edit or delete a deposit after it is recorded?

Yes, a manager can correct a deposit entered with the wrong amount, member or date while the month is still open. Every change appears in the activity log, which every member can read, so corrections are never silent. Once a month is closed, nobody can change anything dated inside it until a manager reopens it, and the reopening is logged too.

What should the manager do if someone says they paid but the money never arrived?

Leave the report unapproved; until it is approved it adds nothing to the member’s balance. Ask the member to recheck the TrxID and their own history, since the payment may have gone to another number or failed. Once the real payment arrives, the member can report it again with the correct TrxID.

Does buying bazar with my own money count as a deposit?

It counts toward what you have paid in, but it is a bazar entry, not a deposit. Record the trip as own-cash bazar with the amount you spent; in Mess Ledger it credits you only after a manager approves it. So if you deposited ৳4,000 and spent ৳800 of your own on bazar, you have paid in ৳4,800 once it is approved.

If I paid a mess bill from my own pocket, does it count towards what I paid?

Yes, a bill you paid yourself counts as money you put into the mess, just like a deposit. For example, if you paid the ৳1,200 gas bill, you are credited ৳1,200, and the bill is still split among members as usual. Mess Ledger credits bills a member paid out of pocket, so nobody needs to send that money back and forth.

Does the mess manager also have to pay a deposit?

Yes; the manager eats and lives there too, so they deposit the same advance as everyone else. Recording it like any other deposit keeps the books honest and stops people wondering whether the manager is only spending members’ money. It also makes the month-end balances easier for everyone to trust.

What should we do if the mess fund runs out before the month ends?

Ask for a top-up before the money runs out, not after the manager has paid from their own pocket. For example, if eight members deposited ৳4,000 each, ৳32,000 in all, and only ৳3,000 is left on the 22nd, asking each member for ৳1,000 more adds ৳8,000. Any surplus at month end goes back into members’ balances, so a top-up never costs anyone extra.
